Overview
My Doctor Medical Group is a San Francisco–based concierge medicine practice that recently implemented Vivlio Health to improve how medical records are retrieved, prepared, and managed across the practice. Serving patients with high expectations for both access and privacy, the practice needed a more efficient way to centralize record retrieval from multiple hospital systems while maintaining control over how information is shared. This case study highlights My Doctor Medical Group’s early experience with Vivlio Health, including initial workflow improvements, adoption patterns, and the role Vivlio plays in supporting visit readiness today.
The Challenge
As a concierge medicine practice, My Doctor Medical Group depends on complete, timely access to patient records from a wide range of institutions, including UCSF, Stanford, Sutter Health, Mayo Clinic, and others. Prior to Vivlio, record retrieval required logging into multiple hospital portals, manually pulling records through Care Everywhere, downloading PDFs, and re-uploading files into their EHR. The process was labor-intensive for the physicians and staff, with little centralized control over how information was shared back to external networks.
As Dr. Paul Abramson explained, “Even with Elation, retrieving medical records meant logging into multiple hospital systems, pulling information from different portals, and manually assembling a complete patient record. It was extremely time-consuming.”
Why Vivlio
Dr. Abramson, the practice’s founder, evaluated Vivlio alongside other Elation-compatible options and found limited viable alternatives. Competing solutions lacked meaningful privacy controls and defaulted to broad data sharing, which was unacceptable for a patient population with heightened confidentiality needs. Vivlio stood out for its willingness to work closely with the practice on privacy requirements, its structured approach to organizing external records into usable clinical information, and its roadmap for deeper EHR integration.
The Experience So Far
Implementation has been collaborative and iterative, with the Vivlio team working closely with the practice to align workflows to real concierge care needs. Vivlio now supports a meaningful portion of My Doctor Medical Group’s external medical record retrieval and has become a reliable part of how the practice prepares complete patient records. As adoption has expanded, Vivlio has become increasingly central to day-to-day clinical preparation.
The Impact
Vivlio has reduced the need for staff to log into multiple external systems, improved visibility into incoming records, and increased confidence in how patient information is accessed and shared. As Dr. Abramson noted, “Vivlio has meaningfully improved how we retrieve and manage medical records within our workflow, without compromising patient privacy.” Just as importantly, the Vivlio team has remained responsive to feedback, with ongoing refinements aligned to real-world concierge practice workflows.
